Color, Material & Product Variation Policy

COLOR, MATERIAL & PRODUCT VARIATION POLICY

Last Updated: 7 September 2026

1. INTRODUCTION

This Color, Material & Product Variation Policy applies to products supplied under the Velar Wood brand.

Velar Wood is a brand owned and operated by Jawharat Al Furqan Carpentry LLC, located in Sajja Industrial Area, Sharjah, United Arab Emirates.

Furniture and joinery products may contain natural, manufactured, painted, printed, upholstered, metallic, glass, acrylic, stone, or other materials. Reasonable differences may occur between samples, images, renders, production batches, and finished products.

This Policy explains which variations are normally expected and how material or colour concerns will be reviewed.

2. SCOPE OF THIS POLICY

This Policy may apply to:

- Solid wood;

- Plywood;

- MDF;

- Melamine-faced MDF;

- Veneer;

- Laminate;

- PVC finishes;

- Acrylic;

- Paint and polish;

- Metal and powder coating;

- Glass and mirrors;

- Fabric and upholstery;

- Foam;

- Artificial and natural stone;

- Printed graphics;

- Stickers and branding;

- Plastics;

- Hardware; and

- Other materials used in our products.

3. WEBSITE IMAGES

We make reasonable efforts to display product images accurately.

However, the colour and appearance shown on a website may differ from the physical product because of:

a. Mobile, tablet, or computer screen settings;

b. Screen brightness and colour calibration;

c. Photography lighting;

d. Editing and image compression;

e. Indoor or outdoor lighting;

f. Camera settings;

g. Viewing angle; and

h. Surrounding wall, floor, and furniture colours.

A website image should be treated as a general visual reference unless an exact material code and approved physical sample are provided.

4. 3D RENDERS AND DIGITAL DESIGNS

3D renders, mock-ups, illustrations, and digitally generated images are intended to explain the proposed design.

They may not reproduce the exact:

- Colour;

- Grain;

- Texture;

- Gloss level;

- Reflection;

- Fabric behaviour;

- Lighting;

- Joint lines;

- Edge details; or

- Finished material appearance.

A 3D render is not a physical material sample.

Written specifications, approved material codes, and approved samples take priority over the general appearance of a render.

5. REFERENCE PHOTOGRAPHS

A customer-provided reference photograph may be used as design inspiration.

Unless expressly agreed in writing, a reference image does not guarantee:

a. An exact colour match;

b. Identical materials;

c. Identical grain or pattern;

d. The same construction method;

e. The same hardware brand;

f. Identical dimensions or proportions; or

g. An exact copy of every visible detail.

Velar Wood may adapt the design according to available materials, approved budget, construction requirements, safety, and production methods.

6. PHYSICAL MATERIAL SAMPLES

Where reasonably available, customers may request or review a physical sample before final approval.

A physical sample represents the general colour, texture, or finish but may not show every characteristic of the finished product.

A small sample may not accurately demonstrate:

- Large-scale grain;

- Pattern repetition;

- Colour distribution;

- Natural marks;

- Joint appearance;

- Reflection across a large surface; or

- The effect of site lighting.

Specially prepared or customised samples may involve an additional charge.

7. SAMPLE APPROVAL

Where a sample is provided, the customer should review it under lighting reasonably similar to the intended installation area.

Approval of the sample confirms acceptance of the general material, shade, texture, and finish, subject to reasonable natural and production variation.

Customer approval may be recorded through:

- Signed sample;

- Material code;

- Quotation;

- Drawing;

- Email;

- WhatsApp; or

- Another written approval method.

8. MATERIAL CODES

Where a recognised manufacturer or supplier code is stated, Velar Wood will make reasonable efforts to use that approved material.

However, the same material code may appear slightly different because of:

a. Production-batch variation;

b. Sheet orientation;

c. Lighting;

d. Ageing;

e. Surface direction;

f. Protective film;

g. Manufacturing updates; or

h. Supplier tolerances.

A material code confirms the selected product reference but does not guarantee that every sheet or component will have an identical grain or shade.

9. NATURAL WOOD VARIATION

Solid wood and other natural wood materials may naturally vary in:

- Grain;

- Knots;

- Texture;

- Colour;

- Shade;

- Density;

- Growth marks;

- Mineral marks; and

- Pattern.

These features make each natural wood component unique.

Reasonable natural variation is not considered a defect unless the product materially fails to meet the approved specification or required function.

10. WOOD-GRAIN BOARDS AND LAMINATES

Wood-grain MDF, melamine, laminate, PVC, and similar manufactured surfaces may vary between sheets and production batches.

Grain direction, pattern position, repetition, and tone may differ across:

- Doors;

- Side panels;

- Drawers;

- Shelves;

- Countertops; and

- Separate product sections.

Continuous book-matched or grain-matched appearance is included only where expressly stated in the approved quotation or drawing.

11. VENEER

Natural veneer may show differences in grain, shade, figure, and pattern.

Matching veneer across multiple panels may be limited by the natural material and available veneer leaves.

Exact uniformity is not expected unless a specific matching method has been expressly included and approved.

12. PAINTED AND POLISHED FINISHES

Paint and polish may appear different depending on:

a. Lighting temperature;

b. Surface angle and shape;

c. Primer and base material;

d. Spray application;

e. Number of coats;

f. Matt, satin, semi-gloss, or gloss level;

g. Drying and curing conditions; and

h. Surrounding colours.

Minor differences between separate production batches, repaired sections, samples, and finished products may occur.

13. PAINT COLOUR CODES

Where a recognised paint code is approved, Velar Wood will use or match that reference as reasonably practical.

The final appearance may still vary slightly from:

- Printed colour cards;

- Digital colour charts;

- Website images;

- Small samples;

- Existing aged paint; or

- Paint applied by another company.

An exact match with an existing wall, product, or previously painted item cannot be guaranteed unless specifically tested and approved.

14. TOUCH-UPS AND REPAIRS

A repaired or touched-up area may appear slightly different from the surrounding original finish because of:

- Ageing;

- Sunlight exposure;

- Material batch;

- Paint mixing;

- Application method;

- Surface angle; and

- Existing wear.

Velar Wood will make reasonable efforts to achieve a suitable match, but a completely invisible repair cannot always be guaranteed.

15. FABRIC AND UPHOLSTERY

Fabric may vary in:

a. Weave;

b. Texture;

c. Dye lot;

d. Pattern position;

e. Direction;

f. Pile;

g. Reflection; and

h. Shade under different lighting.

Pattern placement may differ between cushions, panels, or separate products unless exact pattern matching is specifically included.

Fabric ordered at different times may come from different dye lots and may not match exactly.

16. FOAM AND CUSHIONING

Foam and cushioning may soften or settle with normal use.

Minor differences in firmness, shape, or recovery can occur between separate cushions or production batches.

A reasonable initial difference or gradual settling is not automatically a manufacturing defect.

17. METAL AND POWDER-COATED FINISHES

Metal surfaces may show minor variation in:

- Weld appearance;

- Joint finishing;

- Texture;

- Powder-coating shade;

- Surface reflection;

- Hand-finishing; and

- Production batches.

Minor marks or texture differences that do not materially affect strength, safety, function, or the approved appearance are not normally defects.

18. GLASS AND MIRRORS

Glass and mirrors may show minor optical effects depending on:

a. Thickness;

b. Lighting;

c. Viewing angle;

d. Reflection;

e. Edge treatment;

f. Tempering process; and

g. Supporting surface.

Minor reflection distortion or small production characteristics may occur within normal supplier tolerances.

Cracks, chips, or material safety concerns should be reported promptly for inspection.

19. ACRYLIC AND PLASTIC

Acrylic and plastic materials may show minor differences in shade, transparency, reflection, surface texture, or edge appearance.

These materials may scratch if cleaned with abrasive products or rough cloths.

Damage caused after delivery by unsuitable cleaning or use is not considered a production variation or manufacturing defect.

20. STONE AND STONE-EFFECT MATERIALS

Natural stone may vary significantly in:

- Veining;

- Pattern;

- Colour;

- Shade;

- Pores;

- Natural marks; and

- Surface character.

Artificial stone, printed stone-effect sheets, and laminates may contain repeated or changing patterns.

Exact matching across separate slabs, sheets, products, or later repairs may not be possible.

21. HARDWARE AND ACCESSORIES

Handles, hinges, drawer channels, locks, sockets, switches, wheels, and other accessories may show minor differences between:

- Product batches;

- Manufacturers;

- Updated models;

- Finishes; and

- Supplier photographs.

Where an approved item becomes unavailable, Velar Wood may propose a reasonably comparable alternative for customer approval.

22. MATERIAL SUBSTITUTION

Velar Wood will not intentionally make a material substitution that materially affects the approved appearance, function, durability, or price without customer approval, except where immediate substitution is legally or technically necessary and the change does not reduce the agreed product standard.

Where an approved material becomes unavailable, Velar Wood may offer:

a. A comparable alternative;

b. A revised price;

c. A revised completion date; or

d. Cancellation of the affected unproduced portion where appropriate.

Material substitution affecting the order must be confirmed through an approved written communication.

23. MATERIAL DISCONTINUATION

Manufacturers and suppliers may discontinue or change materials, colour codes, hardware, fabrics, or finishes.

Velar Wood cannot guarantee that the same material will remain available for future:

- Extensions;

- Additional units;

- Repairs;

- Replacements; or

- Repeat orders.

Customers ordering matching items at a later date should expect possible variation.

24. PRODUCT DIMENSIONS

Custom furniture and joinery may require reasonable dimensional tolerances because of:

a. Material thickness;

b. Manufacturing methods;

c. Wall, floor, and ceiling irregularities;

d. Paint or polish thickness;

e. Hardware requirements;

f. Site installation; and

g. Natural material movement.

Minor variations that do not materially affect the intended function or approved appearance are not normally defects.

25. HANDMADE AND CUSTOM PRODUCTION

Custom-made products may involve manual:

- Cutting;

- Assembly;

- Welding;

- Sanding;

- Painting;

- Polishing;

- Upholstery;

- Stitching; and

- Finishing.

Minor differences between handmade components or separate products may occur.

Reasonable handmade variation is part of custom production and is not normally considered defective.

26. JOINTS, EDGES, AND SECTION LINES

Large products may need to be manufactured in separate sections because of:

- Sheet size;

- Product strength;

- Delivery access;

- Installation method;

- Knock-down construction;

- Transportation; or

- Future relocation.

Reasonable joint lines, edge bands, panel divisions, fasteners, cover caps, or assembly points may therefore be visible.

Seamless or one-piece construction is provided only where technically possible and expressly confirmed.

27. LIGHTING CONDITIONS

The same product may appear different under:

- Daylight;

- Warm-white lighting;

- Neutral-white lighting;

- Cool-white lighting;

- Spotlights;

- Indirect lighting; and

- Different viewing angles.

Velar Wood is not responsible for colour perception caused solely by site lighting or screen display.

Customers should consider the intended lighting before approving a colour.

28. AGEING AND SUNLIGHT

Materials may change gradually because of:

a. Direct or indirect sunlight;

b. UV exposure;

c. Heat;

d. Humidity;

e. Air-conditioning;

f. Cleaning products;

g. Smoke; and

h. Normal ageing.

Products or sections exposed to different conditions may age or fade differently.

Such changes are not normally considered manufacturing defects.

29. WATER AND MOISTURE

Standard indoor furniture materials are not automatically waterproof.

Unless expressly stated otherwise, products must be protected from:

- Water leakage;

- Flooding;

- Wet floors;

- Excessive humidity;

- Condensation;

- Steam; and

- Direct outdoor exposure.

Swelling, separation, staining, mould, corrosion, or finish damage caused by water or unsuitable moisture exposure is not considered a normal material variation and may not be covered as a manufacturing defect.

30. CUSTOMER-SUPPLIED MATERIALS

Where the customer supplies material, fabric, hardware, paint, stone, appliance, or another component, Velar Wood is not responsible for:

a. Its quality;

b. Shade or batch variation;

c. Suitability;

d. Durability;

e. Availability;

f. Manufacturer warranty; or

g. Performance.

Velar Wood may refuse customer-supplied material that appears unsuitable, unsafe, damaged, or insufficient for the required work.

31. APPROVAL RESPONSIBILITY

The customer must review the material and colour information before final approval.

If an exact colour, grain direction, pattern match, gloss level, or special characteristic is important, it must be clearly stated and approved in writing before production.

General instructions such as “same as the picture,” “wood colour,” “off-white,” “gold,” or “grey” may not be sufficient for exact matching.

32. CHANGES AFTER APPROVAL

A colour or material change requested after approval may result in:

a. Additional material cost;

b. Wasted or non-returnable material;

c. Repainting or refinishing charges;

d. Additional design or labour charges;

e. Revised production time; and

f. Revised delivery or installation date.

The change will proceed only after any revised price and schedule have been approved.

33. CUSTOMER EXPECTATIONS

The customer should not expect all separate products, panels, sheets, or later additions to be perfectly identical where natural materials, different batches, handmade finishes, or different production dates are involved.

Where the customer requires highly consistent matching, this requirement must be communicated before quotation and may affect material selection, price, and production method.

34. WHAT MAY BE CONSIDERED A DEFECT

A colour, material, or product issue may require corrective action where the product:

a. Uses a materially different material from the approved specification;

b. Uses an unapproved materially different colour;

c. Has a verified manufacturing fault;

d. Has damage for which Velar Wood is responsible;

e. Materially fails to follow the approved design; or

f. Cannot perform its agreed intended function because of defective workmanship.

Responsibility and remedy will be confirmed after review or inspection.

35. WHAT IS NOT NORMALLY A DEFECT

Subject to applicable law, the following are not normally defects:

a. Reasonable natural grain or pattern variation;

b. Minor batch-to-batch shade difference;

c. Colour differences caused by screens or lighting;

d. Normal handmade characteristics;

e. Reasonable manufacturing or installation tolerances;

f. Material ageing or fading caused by environmental exposure;

g. Correctable alignment or adjustment requirements;

h. Differences between a render and the approved physical specification; or

i. Variations specifically disclosed and accepted before purchase.

36. REPORTING A CONCERN

A customer who believes that an incorrect material, colour, or defective finish has been supplied should contact Velar Wood promptly.

The customer should provide:

a. Full name;

b. Order, quotation, or invoice reference;

c. Delivery or installation date;

d. Approved material name or code;

e. Clear description of the concern;

f. Photographs in natural and normal site lighting; and

g. Videos or additional evidence where relevant.

37. PHOTOGRAPHIC EVIDENCE

Photographs can assist the initial review but may not accurately represent colour.

Velar Wood may request:

- Additional photographs;

- Photographs without filters;

- Photographs under different lighting;

- A sample comparison;

- A supplier assessment; or

- A physical inspection.

A final decision regarding colour or material variation may require an in-person inspection.

38. AVAILABLE REMEDIES

Where Velar Wood confirms an incorrect material, unapproved material change, defective finish, or other issue for which it is responsible, an appropriate remedy may include:

- Adjustment;

- Touch-up;

- Refinishing;

- Repair;

- Replacement of an affected component;

- Remanufacture;

- Partial refund;

- Full refund; or

- Another remedy required by applicable law.

Where an issue can reasonably be corrected without materially reducing the agreed appearance or function, Velar Wood may first be given a reasonable opportunity to perform the correction.

39. CUSTOMER RIGHTS

Nothing in this Policy excludes or limits any customer right, remedy, or liability that cannot legally be excluded under applicable law.

Where this Policy conflicts with a mandatory legal requirement, that mandatory legal requirement will apply.

40. CHANGES TO THIS POLICY

Velar Wood may update this Policy to reflect changes in products, materials, suppliers, manufacturing methods, business procedures, or applicable law.

The updated version will be published with a revised “Last Updated” date.
